    Immediate supervisors: Operations Manager, CIP

    Position summary: The Receptionist/Coordinator provides front office coverage and clerical support for the Center for International Programs (CIP) and the Center for Career and Professional Development (CCPD). The position requires an ability to communicate appropriately, with a positive and helpful service orientation, to students, faculty, staff, parents, alumni and other constituents on a variety of topics related to the CIP/CCPD. Many of the records and much of the information handled by the receptionist are confidential in nature requiring a high level of tact and discretion.

    Primary responsibilities:

    Both CIP/CCPD

    • Provide reception coverage to include answering multi-line phones, scheduling appointments, assisting walk-in patrons, and maintaining Resource Room equipment and supplies
    • Responsible for staying current on the details of CIP and CCPD programs, policies and procedures, in order to accurately provide information and referrals to various stakeholders.
    • Orders all supplies for the suite.
    • Maintains informational materials in the resource room.
    • Maintain the resource room collections including books, magazines, handouts and internship reports; assist students in accessing and using the resources.
    • Reconciles CIP and CCPD staff monthly College Visa statements.
    • Coordinating the configuration and maintenance of telephones, voice mail, holiday greetings, computer hardware, software, and electronic files, including back up data and meter readings.
    • Communicates with students on a daily basis via phone, e-mail and in person concerning materials due.

    CIP-Specific Responsibilities:

    • Assembles mailings, including international Fed Ex packages.
    • Submit and track Facilities Management work orders.
    • Schedules meetings and books rooms for CIP and CCPD.
    • Receives and organizes materials (applications, forms, etc) from students.
    • Supervise student workers.
    • Assists with input and maintenance of data in the CIP databases and Colleague Database.
    • Receives and organizes study abroad forms and materials from students.
    • Organizes material for study abroad students to pick up from the Resource Room.
    • Maintains the CIP general email account.
    • Other duties as specified by the Operations Manager, Associate Director, or Director.

    Qualifications:

    • High school diploma; associate degree preferred
    • Minimum of 2 years comparable experience
    • Utmost attention for detail
    • Ability to thrive in a busy atmosphere with multiple interruptions.
    • Strong service orientation and excellent telephone communication skills
    • Strong quantitative, writing and interpersonal skills
    • Basic computer skills, including proficiency with Microsoft Office
    • Aptitude for using and managing information systems
    • Physical requirements include ability to work in an office environment, with extensive use of computers and telephones; to read, write and handle paper documents.
